How to turn messy meeting notes into clear summaries with AI

Turn rough notes or transcripts into a clean summary, decisions and action items with owners, in under two minutes. Prompts included.

Step 1

Capture something

Rough bullet notes are fine. If your video tool produces a transcript (Zoom, Teams and Meet do on many plans), use that. Always tell attendees if you record.

Step 2

Use a structured prompt

Below are raw notes from a [team/client] meeting on [date].
Produce:
1. A 3-sentence summary
2. Decisions made
3. Action items as a table: task | owner | due date (write "unclear" if not stated, don't guess)
4. Open questions
[paste notes or transcript]

The "don't guess" line matters: it stops the AI from inventing owners and deadlines.

Step 3

Turn it into the follow-up email

Turn that into a follow-up email to attendees. Friendly, scannable, under 150 words, action items first.
Step 4

Prep the next meeting

Based on these open questions, draft a 30-minute agenda for our next meeting with time boxes.
Check before you send: AI can invent facts, names and numbers. Read the output once, fix anything wrong, and never paste passwords, client secrets or private health/financial data into a chatbot.
