How to plan a trip itinerary with AI, step by step
A 6-step workflow and copy-paste prompts to turn ChatGPT, Claude, Grok or Gemini into a trip planner: day-by-day plans, budgets, packing lists and a fact-check list.
AI is great at the boring part of travel planning: turning a pile of wishes into a realistic day-by-day plan. It is bad at live facts like opening hours, prices and train times. This workflow uses it for the first and makes you check the second.
Write a trip brief first
Vague requests get the same generic itinerary everyone gets. Give the AI your constraints up front and let it ask questions.
You are a practical travel planner. Here is my trip brief:
- Who: [e.g. 2 adults, kids aged 7 and 10]
- Where and when: [city/region], [dates], arriving [time], leaving [time]
- Budget: [e.g. mid-range, about $X/day excluding flights]
- Pace: [relaxed / moderate / packed]
- We love: [food markets, hikes, museums...]
- We want to avoid: [long drives, nightlife, steep walks...]
- Already booked: [hotel area, flights, events]
Before planning anything, ask me up to 3 questions that would change the plan.Ask for the day structure, not a list of sights
Build a day-by-day itinerary. Group activities by neighborhood so we don't cross the city twice in one day.
For each day: morning, afternoon, evening, with 1-2 anchor activities each, meal areas and a rest break.
Flag anything that usually needs advance booking.
Do not state specific opening hours or prices. Write "verify" wherever timing or cost matters.
Format as a table: Day | Area | Morning | Afternoon | Evening | Book ahead?Stress-test the plan
Switch the AI from builder to critic. It is surprisingly good at spotting its own overloaded days.
Act as a skeptical local who knows [destination]. Review this itinerary and point out:
1) days that are over-packed or have long backtracks
2) things likely to be closed on that weekday or in that season (tell me to verify)
3) one rainy-day backup for each day
Then give me a revised version.Get a rough budget
Estimate a rough daily budget for this itinerary at a [budget level] style, split into lodging, food, local transport, and paid activities.
Show it as a range, list your assumptions, and mark every number as an estimate I need to check.Treat these as ballpark figures. Check real prices on booking sites before you commit.
Build a fact-check list
This is the step most people skip. Make the AI list everything that depends on current information.
List everything in this plan I must verify before booking: entry or visa rules for a [nationality] passport holder, timed-entry tickets, opening days, transit passes, seasonal closures and reservation deadlines.
For each item, name the best type of source (official government site, venue website, transit operator) and how far ahead to book. For entry and visa rules, use your government's official travel site (in the US, travel.state.gov), not the chatbot.
Finish with a packing list and day sheets
Make a packing checklist for this trip based on the activities, the season and [carry-on only / checked bag]. Group it by category.
Then write a one-paragraph summary for each day that I can save to my phone offline.Frequently asked questions
Can ChatGPT plan a whole trip for me?
It can draft a solid day-by-day plan, packing list and budget estimate, but it can't guarantee current opening hours, prices or availability. Use it to plan, then confirm facts on official sites before booking.
Which AI is best for travel planning?
ChatGPT, Claude, Grok and Gemini all handle itinerary drafting well. Tools with web search can look up recent information, but you should still verify anything time-sensitive yourself.
Can AI check visa or entry requirements?
Treat its answer as a starting point only. Entry rules change, so confirm them on your government's official travel site and the destination's official immigration site.
How do I stop AI from making up details?
Tell it not to state hours or prices and to mark anything time-sensitive as 'verify', then ask it for a fact-check list of everything you must confirm.
