Make vs Zapier vs n8n for beginners: which automation tool should you start with?

A plain-English comparison of Make, Zapier and n8n for first-time automators: free plans, starting prices, how each one counts usage, AI features and which to pick.

Make, Zapier and n8n all do the same basic job: when something happens in one app, they do something in another, with an optional AI step in the middle. They differ in how easy they are to learn, what they count when they bill you, and what you get for free.

Short answer: pick Zapier if you want the fastest, simplest start and your automation is one trigger and one action. Pick Make if you want a visual builder, branching and AI on a free plan with more room. Pick n8n if you are comfortable with technical tools, your workflows have many steps, or you want to self-host.

Prices and limits checked on Oct 22, 2026 on each vendor's official pricing page: Make, Zapier, n8n. Plans change often, so check current pricing before you buy. No links on this page are affiliate links.

Compare the free plans and starting prices

All three let you start without paying. That matters more than the price row: build your first automation on a free plan or trial, and only pay once you know what your workflow uses.

Step 2

Understand what each tool counts

This is where beginners get surprised. Take one simple automation: a new form response arrives → AI writes a one-line summary → the summary goes into a spreadsheet row → you get an email. That's a trigger plus three actions. Here's roughly how 100 responses a month would be counted:

  • Zapier: triggers don't count, so about 3 tasks per response, around 300 tasks a month. But this needs a multi-step Zap and the AI by Zapier step, which are paid-plan features, and AI steps can use more than one task depending on the model.
  • Make: about 1 credit per module per response, so roughly 400 credits, plus extra for an AI step that runs on Make's AI provider. Watch the trigger: a scheduled check uses credits even when nothing is new. Checking every 15 minutes is about 2,880 checks in a 30-day month, more than the free plan's 1,000 credits, so check less often or use an instant (webhook) trigger.
  • n8n: each full run is one execution, so about 100 executions, no matter how many steps you add.

These are rough estimates to show how the models differ, not quotes. Every tool shows real usage in its dashboard after a few test runs, so measure before you pick a paid tier.

Rule of thumb: short, simple automations cost little on any of them. Long workflows with many steps per run are where n8n's per-execution billing tends to look best, and where Zapier's per-task billing adds up fastest.
Step 3

Check the AI features on the plan you'll actually use

  • Make: the built-in Make AI Toolkit can use Make's own AI provider on every plan, including Free, paid for with credits. Connecting your own OpenAI or Anthropic key to the AI Toolkit is a paid-plan feature.
  • Zapier: the Free plan includes basic access to Zapier Agents, Chatbots and Copilot (with a daily message limit), but the AI by Zapier step inside Zaps is on paid plans.
  • n8n: Starter includes AI Agent nodes and AI steps, and n8n says you can use AI models without your own API keys on that plan.

Whatever the tool, the AI step is only as good as its prompt. Ask for a fixed output format so the next step can use it:

Read this customer message and return exactly three lines and nothing else:
CATEGORY: one of [Question, Complaint, Praise, Other]
SUMMARY: one sentence, under 20 words
URGENT: Yes or No
Message: [mapped form answer]
Step 4

Pick by situation, not by brand

Your situationStart with
"I just want new form entries to land in a spreadsheet or Slack"Zapier Free (it's a two-step Zap)
"I want an AI step and some if/then logic without paying yet"Make Free
"My workflow has 10+ steps and runs a lot"n8n (trial first), or compare against Make's credit use
"I'm technical and want my data on my own server"n8n Community Edition (self-hosted)
"My app is niche"Check each tool's app directory first; Zapier lists the most apps

Not sure? Describe your automation to any AI assistant and let it map the flow before you open a tool:

I want to automate this: [describe the task in plain words, e.g. "when someone fills in my contact form, summarize it and add it to a Google Sheet, then email me"].
1) Write it as: trigger → each step → where the result goes.
2) Count the steps and estimate how many times it will run per month if I get [N] entries.
3) Point out any step that needs a human check before it sends, posts or spends money.
Don't recommend a tool yet.
Step 5

Run a 30-minute test before you pay

  1. Sign up for the free plan or trial of your first pick. No card is needed to start on any of the three.
  2. Build the smallest useful version: one trigger, one AI step, one place to save the result.
  3. Run it 5 times with fake test data (made-up names, no real customer details).
  4. Open the usage or history page and note what one run cost in credits, tasks or executions.
  5. Multiply by your expected monthly runs and compare with the plan limits in the table above.

Step 6

Keep a human in the loop

  • Draft, don't send. Have the automation write replies into a sheet or drafts folder; you send them.
  • Use test data first and keep private details (passwords, health or payment data) out of AI steps.
  • Set a usage alert or check usage weekly in the first month so a looping scenario can't burn your allowance.
  • Write down what each automation does in one line, so you can fix or turn it off later.
Check before you send: AI can invent facts, names and numbers. Read the output once, fix anything wrong, and never paste passwords, client secrets or private health/financial data into a chatbot.

Frequently asked questions

Which is easiest for a complete beginner: Make, Zapier or n8n?

Zapier is usually the quickest to learn because you build one step at a time in a form. Make's visual canvas takes a little longer but handles branching and AI steps well on its free plan. n8n is the most technical of the three.

Is n8n free?

The self-hosted Community Edition is free to download, but you have to run and maintain the server yourself. n8n's hosted cloud plans are paid after a free trial (no credit card needed to start the trial).

Which one is cheapest?

For small, simple automations, the free plans of Make and Zapier may be all you need. Among paid plans checked on Oct 22, 2026, Make Core had the lowest published starting price. For long workflows that run often, n8n's per-execution billing can work out cheaper. Check current pricing and measure your real usage first.

Can I use ChatGPT or other AI models in these tools?

Yes. All three can add an AI step to a workflow. On Zapier, the built-in AI by Zapier step needs a paid plan; Make's AI Toolkit works on the free plan using credits; n8n's Starter plan includes AI nodes.

Can I move my automations from one tool to another later?

Not with one click. There's no automatic import between them, so you rebuild the workflow. Writing each automation down as trigger, steps and destination makes switching much easier.

Quick tips on this topic

⚡ Know what your automation tool counts

Make bills credits per module action, Zapier bills tasks per action step, n8n bills one execution per full run. The same workflow can cost very different amounts.

⚡ Zapier Free is two steps

Zapier's free plan runs one trigger and one action per Zap. Need an AI step in the middle? That's a multi-step Zap, which needs a paid plan or the 14-day trial.

⚡ Measure before you pay

Run a new automation 5 times with fake data, then check its usage page. Multiply by your monthly runs before choosing a paid tier.
