How to write a thank-you email after an interview with AI (templates + follow-up timing)

Write a specific thank-you email after a job interview with ChatGPT, Claude, Gemini or Grok: what to note right after, a fill-in template, panel notes, adding a forgotten point and when to follow up.

A short thank-you email after an interview won't rescue a bad interview, but it's a cheap way to show interest, repeat one strong point and fix something you forgot to say. The catch is that most AI-written thank-you notes sound identical. The fix is the same as everywhere else on this site: give the AI the specifics, and don't let it invent any.

Step 1

Write down the details right after the interview

Do this within an hour, while you still remember. You need:

  • Each interviewer's name (exact spelling) and title. If you don't have their email addresses, reply to the recruiter or scheduler and ask, or send one note through them.
  • One or two specific things each person talked about: a project, a problem the team has, something they asked you.
  • One thing you'd like to add or clarify, if any.
  • What they said about next steps and timing.
Step 2

Draft the thank-you email

Common advice is to send it the same day or within one business day. Paste your notes into this prompt:

Write a thank-you email after a job interview.
Role: [job title] at [company]. Interviewer: [name, title]. Interview: [date, video/phone/in person].
Specific things we discussed: [1-2 details from your notes].
One point I want to reinforce: [a skill or result, with facts only from me].
Rules: under 150 words, warm and plain, no clichés like "I am writing to express", no flattery, no facts, numbers or skills I didn't give you. Suggest 3 subject lines.

A good result looks something like this (fill in your own details):

Subject: Thank you, [role] interview

Hi [Name],

Thank you for taking the time to talk with me today about the [role] position. I enjoyed hearing about [specific project or problem they mentioned], and it made me even more interested in the role.

Our conversation about [topic] reminded me of [one true, specific example from your experience], and I'd be glad to bring that experience to [team/company].

Thanks again, and I look forward to hearing about next steps.

Best,
[Your name]

Step 3

Interviewed with a panel? Send one note to each person

Panel members sometimes compare notes, so don't send the same text to everyone. Ask the AI to vary each one around what that person asked:

I interviewed with a panel for [role] at [company]. Write a separate thank-you email (under 120 words each) for each person below.
Each one must mention the specific thing that person asked or talked about, and the wording must differ between them.
[Name 1, title]: [what they asked or discussed]
[Name 2, title]: [what they asked or discussed]
[Name 3, title]: [what they asked or discussed]
Use only the facts I gave you.
Step 4

Add something you forgot, or fix a weak answer

If you blanked on a question or thought of a better example on the way home, the thank-you email is a natural place for one short addition. Keep it to two or three sentences; it's a postscript, not a second interview.

In my interview for [role], I was asked [question] and my answer was weak because [what went wrong].
A better, true example is: [facts].
Write 2-3 sentences I can add to my thank-you email that add this example naturally, without apologizing or sounding defensive.
Step 5

Follow up if you haven't heard back

Wait until the date they gave you has passed. If they didn't give one, about a week to ten business days is a common point to check in. Send one polite follow-up to the recruiter or hiring manager, then give it time; repeated nudges rarely help.

Write a short, polite follow-up email to [name] at [company]. I interviewed for [role] on [date] and they said they'd decide by [date / no date given].
Restate my interest in one sentence, ask whether there's an update on the timeline, and offer to send anything else they need.
Under 90 words, no guilt-tripping, no "just checking in" opener. Suggest 2 subject lines.

If you get an offer, our salary negotiation guide has a counteroffer email template. If you get a rejection, a two-line thank-you that asks to be considered for future roles is worth sending; ask the AI for one under 60 words.

Step 6

Check it before you hit send

  • Names and titles spelled exactly right, and the right company name (easy to get wrong when you're applying to several).
  • Every claim is true and something you could talk about if asked.
  • It sounds like you. Read it out loud and change any phrase you'd never say; our Grammarly vs ChatGPT guide has a proofread-only prompt that won't rewrite your voice.
  • Sent from the email address on your resume, with a plain signature.

Check before you send: AI can invent facts, names and numbers. Read the output once, fix anything wrong, and never paste passwords, client secrets or private health/financial data into a chatbot.

Frequently asked questions

How soon should I send a thank-you email after an interview?

The same day or within one business day is the common advice, while you're still fresh in the interviewer's mind. If the interview was late on a Friday, Friday evening or Monday morning is fine.

Is a thank-you email after an interview still necessary?

It's rarely required, and it won't make up for a weak interview, but it's quick, polite and gives you one more chance to show interest and repeat a strong point. Some interviewers do notice when candidates don't send one.

What should the subject line of an interview thank-you email be?

Keep it plain and easy to find: "Thank you, [role] interview" or "Thanks for today, [your name]". If you're replying in the thread that scheduled the interview, keeping the existing subject is fine too.

Should I send a thank-you email to every interviewer?

Yes, if you have their email addresses, and make each one different by mentioning what that person asked or talked about. If you only have the recruiter's address, send one note to the recruiter and ask them to pass on your thanks.

How long should a thank-you email after an interview be?

Short: about 75 to 150 words. Thank them, mention one specific thing from the conversation, reinforce one strength with a true example, and close.

Is it OK to use ChatGPT to write a thank-you email after an interview?

Yes, as long as the details are yours and you edit it so it sounds like you. Give it your notes from the interview, tell it not to add facts, and read the result out loud. A generic AI note that could have been sent to any company is worse than a short plain one.

When should I follow up if I haven't heard back after an interview?

After the date they gave you for a decision has passed. If they didn't give one, about a week to ten business days after the interview is a common time to send one polite check-in to the recruiter or hiring manager.

Quick tips on this topic

⚡ Make thank-you notes specific

After an interview, jot down one thing each interviewer talked about, then have AI draft a short note around it. Generic notes read like they were sent to every company.

⚡ Follow up once, politely

If the decision date passes with no word, send one short check-in. Let AI keep it under 90 words and skip the guilt-trip.
