How to plan a Friendsgiving potluck with AI

Use ChatGPT, Claude, Gemini or Grok to plan a Friendsgiving potluck: a balanced sign-up sheet, the group-chat message, allergen labels, a safe way to carry and hold dishes, and a simple run of show.

A potluck fails in two predictable ways: six people bring dessert, or a dish sits on the counter all evening. AI is very good at the first problem (balancing a sign-up list and writing the messages) and it can schedule around the second, as long as you take the food-safety rules from USDA rather than the chatbot.

Short version: decide headcount and what you'll cook, let AI split the rest into categories with quantities, send one clear sign-up message, ask everyone to label allergens, and plan how hot and cold dishes stay hot and cold.

Step 1

Write a one-paragraph brief

I'm hosting a Friendsgiving potluck for [14] adults on [Saturday, Nov 21] at [6 pm] in [my apartment].
I'm making: [the turkey and gravy]. Kitchen: [one oven, small fridge]. Budget for my part: [$80].
Diets I know about: [2 vegetarians, 1 nut allergy]. Vibe: [casual, games after dinner].
Ask me up to 3 questions before you plan anything.

Mention the small fridge or single oven now. It changes which dishes you should ask people to bring ready to serve.

Step 2

Turn the menu into a balanced sign-up sheet

Split the rest of the menu into potluck slots for [13] guests: mains, sides (starchy and green), salad, bread, dessert, drinks, ice and supplies (plates, foil, to-go containers).
For each slot give: how many people should take it, a rough quantity ("serves 14"), and whether it should arrive hot, cold or room temperature.
Leave 2 'wildcard' slots and keep at least 3 dishes vegetarian. Output as a table I can paste into a shared doc.

Paste the table into a shared doc or spreadsheet so people can put their name next to a slot. Asking each guest to write the dish name plus its main allergens next to their slot saves a lot of questions later.

Step 3

Send one clear group-chat message

Write a friendly group-chat message for my Friendsgiving: date, time, address [placeholder], the sign-up link [link], and 3 asks:
1) claim a slot by [date], 2) add your dish's main allergens, 3) bring it in a dish you don't need back, or label it.
Under 90 words, warm, one emoji max. Then write a 2-line reminder for 3 days before.

Send the reminder with the current sign-up list so gaps (usually drinks, ice and green vegetables) get filled.

Step 4

Plan hot, cold and travel

Potluck dishes spend time in cars and on counters. Per USDA's leftovers and food safety page, hot food should be kept at 140 °F or warmer and cold food at 40 °F or below; on a buffet that means chafing dishes, slow cookers or warming trays for hot food and bowls of ice or small, often-replaced trays for cold food. Perishable food shouldn't sit at room temperature for more than 2 hours (1 hour above 90 °F).

Here's my potluck sign-up list with arrival times: [paste].
Make a holding plan: which dishes go in the oven on low, which need a slow cooker or the fridge, and which can sit out.
I have [one oven, 2 slow cookers, a cooler]. Flag any dish that will be out longer than 2 hours from when it's set out, and suggest when to put it away.

Let the AI do the scheduling; check the temperatures with a food thermometer yourself.

Food-safety facts on this page come from the linked USDA pages, last checked Oct 25, 2026.

Step 5

Make a simple run of show

Build an evening timeline for my Friendsgiving: guests arrive [6 pm], dinner [7 pm], dessert and games [8:30 pm].
Include: when the turkey comes out to rest, when hot dishes go into the oven, a 'food goes back in the fridge' reminder by [9 pm], and 2 jobs for volunteers.
Add one short, inclusive toast I can read before we eat.

Leftovers to go: ask everyone to bring a container. Per USDA, leftovers should be in the fridge within 2 hours and eaten within 3 to 4 days. Our Thanksgiving leftovers meal plan turns them into the next few dinners.
Check before you send: AI can invent facts, names and numbers. Read the output once, fix anything wrong, and never paste passwords, client secrets or private health/financial data into a chatbot.

Frequently asked questions

How do you organize a Friendsgiving potluck?

Decide the headcount and what you'll cook, split the rest into slots (mains, sides, salad, bread, dessert, drinks, supplies) with quantities, share a sign-up sheet, and send one reminder a few days before.

How long can potluck food sit out?

USDA says perishable food shouldn't sit at room temperature for more than 2 hours, or 1 hour if it's above 90 °F. Keep hot dishes at 140 °F or warmer and cold dishes at 40 °F or below.

Can ChatGPT make a potluck sign-up sheet?

Yes. Give it the headcount, what you're making and any diets, and ask for a table of slots with quantities and hot/cold notes. Paste it into a shared doc or spreadsheet.

What should the host provide at a Friendsgiving?

Usually the main (often the turkey), plates, cutlery, ice and a few serving utensils. Ask AI to list gaps once the sign-up sheet fills up.

Quick tips on this topic

⚡ Potluck slots, not a free-for-all

Have AI split the menu into slots with quantities so you don't get six desserts.

⚡ Allergens on the sign-up sheet

Ask each guest to write their dish's main allergens next to their name.

⚡ Flag the 2-hour dishes

USDA says perishables shouldn't sit out more than 2 hours. Let AI schedule when each dish goes back in the fridge.
